Check Out, Check In, and Transfer

Asset Manager tracks who has each asset and when it's due back. These three operations manage the full lifecycle of asset assignments.

Check Out

Checking out an asset assigns it to a person.

  1. From the asset list, select one or more assets, then click Check Out in the toolbar. You can also check out from within an asset record.
  2. Fill in the check-out form:

Return Due DateWhen the asset should be returned (optional)
StatusUpdate the asset's status (optional)
LocationUpdate the asset's location (optional)
CommentsAny notes about this check-out
  1. On the right side, scan or search for additional assets to add to the check-out list.
  2. Check Show Receipt After Check Out to generate a printable receipt (optional).
  3. Click the button to complete the operation.

Check In

Checking in an asset returns it from its current custodian.

  1. From the asset list, select one or more checked-out assets, then click Check In. You can also check in from within an asset record.
  2. Fill in the check-in form:

ConditionThe condition of the asset upon return (optional)
CommentsAny notes about this check-in
  1. Scan or search for additional assets to add to the check-in list.
  2. Check Show Receipt After Check In to generate a printable receipt (optional).
  3. Click the button to complete the operation.

Transfer

A transfer reassigns assets from one custodian to another — effectively a combined check-in and check-out. Transfer is available from within an asset record (not from the asset list).

  1. Open an asset record and click Transfer in the toolbar.
  2. The Current Custodian is shown. Select the New Custodian.
  3. Optionally update the Return Due Date, Status, Location, Condition, and Comments.
  4. Scan or search for additional assets to add to the transfer list.
  5. Check Show Receipts After Transfer to generate a printable receipt (optional).
  6. Click the button to complete the operation.

Barcode Scanning

All three forms support scanning asset barcodes to quickly add assets to the list. The check-out form also supports scanning a person's badge to select the custodian.

You can also perform these operations from the barcode scanner on a mobile device.
