User Management
User management controls who can access Asset Manager and what they're allowed to do.
Roles
Each user is assigned a system role that determines their access level:
| Role | Access |
|---|---|
| System Administrator | Full access to all features and functions including Company Options, Recycle Bin (permanent delete), and Set Password |
| Data Administrator | View, edit, delete (to recycle bin), and restore Assets, Personnel, Vendors, and Selection Field Values |
| Custodian | View-only access to all asset data plus the ability to check in and out assets |
| Auditor | View-only access to all asset data plus the ability to add Audit records to assets |
| Service Manager | View-only access to all asset data plus the ability to add and edit Service records |
| Viewer | View-only access to all asset data |
Managing User Accounts
User accounts are managed from the People section. Each person record has an Account tab where you can:
- Create a user account and assign a system role.
- Change a user's role.
- Set or reset a user's password (System Administrators only).
Not every person needs an account
Create user accounts only for people who need to log in. Other personnel (e.g., employees who are assigned assets but don't use the software) only need a person record.
