Loan Agreement

The loan agreement is the responsibility statement printed on every check-out receipt. Custodians read and sign it when they receive an asset, giving you a record that they accepted responsibility for the items.

Navigate to Options > Loan Agreement.

Editing the Text

  1. Edit the text in the box. A counter below the box shows how many characters remain.
  2. Click Save.

The new wording appears on the next check-out receipt you generate. Receipts printed earlier are not changed.

Default Text

If you have never saved an agreement, Asset Manager supplies a general-purpose default in your display language:

I understand that I am responsible for all items checked out to me, and I will take precautions to protect the items from loss or damage. In the event of any loss or damage, I will report the details to the Asset Control Officer as soon as possible and assist with any follow-up investigations and countermeasures as needed.

Replace it with your own wording to reflect your organization's policies. Once you save your own text, it is used for all users regardless of their display language.

tip

Ask your legal or HR team to review the wording before you publish it. The agreement is the statement your custodians are signing.

Where It Appears

The agreement prints on the Check Out Receipt, under a Loan Agreements heading near the bottom of the page and above the Signatures section. It does not appear on check-in or transfer receipts.

To produce a receipt, check Show Receipt After Check Out when you check out an asset.

Permissions

Only System Administrators can edit the loan agreement. Other users see the page with the Save button disabled.
